The Project Management & Risk Mitigation Plan
Abstract
The SEEDplus Project Management and Risk Mitigation Plan is a comprehensive framework designed to guide the successful execution, coordination, and monitoring of project activities. It establishes clear protocols for consortium partners to follow throughout the project’s lifecycle, ensuring that roles, responsibilities, timelines, and communication channels are well-defined. By outlining key governance structures and risk management processes, the document aims to ensure that all project objectives are met, potential risks are proactively mitigated, and quality standards are consistently upheld.
The document is structured into several key sections that provide the foundation for the smooth operation of the SEEDplus project. It begins by detailing the governance and management structure, with UiT The Arctic University of Norway serving as the Project Coordinator, overseeing the execution of work packages and ensuring the alignment of all partners with the project’s goals. The management structure is designed to be inclusive and collaborative, fostering open communication across the consortium. Decision-making is overseen by the Steering Committee, with each partner responsible for their respective tasks, while the Project Coordinator ensures adherence to timelines and quality standards.
Risk management is a central focus of the plan, utilizing both SWOT analysis and Integrated Risk Management (IRM) to identify, assess, and mitigate potential risks. Risks are categorized by likelihood and severity, and the plan includes mitigation strategies for each identified risk. The Risk Log is a living document that will be regularly updated by Work Package (WP) leaders and the Project Coordinator, with high-priority risks escalated to the Steering Committee when necessary. This proactive approach to risk management is critical to minimizing disruptions and ensuring the successful completion of project activities.
The document also outlines the quality assurance and monitoring processes that will be employed throughout the project. Deliverables will undergo both internal reviews by WP leaders and, where necessary, external reviews to ensure that they meet the highest standards. Key Performance Indicators (KPIs) are established to track progress, and regular monitoring will ensure that any issues are addressed promptly. In addition to risk and quality management, the plan includes guidelines for internal financial reviews, despite operating under the EU lump sum model. These reviews are scheduled at key intervals to ensure effective resource allocation and to prevent financial discrepancies.
By following the protocols and processes outlined in this document, the SEEDplus consortium can efficiently manage risks, maintain high-quality standards, and optimize the overall success of the project.
